Pharmacy Systems Analyst

Maine Medical Center is seeking a Pharmacy Systems Analyst in Portland. The role is accountable for analysis, building, testing, and implementation of computer systems in a healthcare setting. These systems may include, but are not limited to, functionality to support clinical, fiscal, IS and business operations. The system implementation may be changes, new functionality within a site’s current system, or the implementation of the system at a new site. This is the second level of a three level career path.

The Systems Analyst typically works with end users, managers, line management and senior management on efforts with a medium level of complexity. Incumbents in this role design system components, write specifications, estimate work, define solutions, perform system build and create system level documentation. The Systems Analyst is viewed as a respected resource within the department and within the larger organization. Participation as a member of the On Call support team is required in this position.

Qualifications:
• 3+ year’s pharmacist experience. Hospital experience preferred.
• PharmD required.
• 2-3 years analysis and design experience.
• Demonstrated interest in Healthcare Technology and interaction with Electronic Medical Records.
• Mastery of program development tools such as editors and configuration tools.
• Proven ability to utilize knowledge of computer systems and data structures to develop system solutions.
• Demonstrated experience and proficiency with MS Word, Excel, PowerPoint and Visio.

Pharmacy Supervisor - Acute Care

Maine Medical Center is seeking an Acute Care Pharmacy Supervisor in Portland. The work hours are Monday through Friday, 3:00 pm – 11:30 pm; no weekend rotation. This position is 80% administration and 20% staffing. The role of the Acute Care Pharmacy Supervisor is to assist the Director of Acute Care Pharmacy Services with ensuring optimal pharmaceutical services are provided at Maine Medical Center. These services include, but are not limited to, procurement, storage, order review/verification, preparation, distribution, compounding, and monitoring of medications. The Pharmacy Supervisor is a member of the Pharmacy Leadership Team and provides supervision and leadership for Clinical Pharmacists, Pharmacist Coordinators, Pharmacy Technicians, and volunteers. This position will also oversee the day to day operations of the TelePharmacy Services program provided to other MaineHealth member hospitals currently utilizing the Epic sEHR system. S/he also fulfills the role of a Clinical Pharmacist, as needed.

Qualifications:

  • A Doctor of Pharmacy (PharmD) degree or Master’s in Hospital Pharmacy or Business Administration is preferred.
  • In depth background in pharmacy operations and personnel management preferred.
  • Experience in the development of programs focused on achieving positive outcome in the training and education of department personnel.
  • An active Maine license as a registered pharmacist.
  • Minimum of 3 to 5 years of experience in hospital pharmacy preferred.
  • Experience directly related to pharmacy service development and implementation.
  • A general or specialized pharmacy residency and experience in a large academic medical center preferred.

Clinical Manager - Pharmacy

Summary

Responsible for planning and managing the human, material, equipment and fiscal resources for areas of responsibility and accountable for developing action plans to contribute to the organization's ability to carry out its mission and accomplish annual pillar goals.
Provides direction and leadership for the Department of Pharmacy clinical services,, manages standardized clinical pharmacy programs to optimize efficacy, safety and cost effective use of medications. Works collaboratively with the Director of Pharmacy and Pharmacy Operations Manager to develop, implement and maintain progressive and best practice health-system pharmacy services. Responsible for the planning and management of Pharmacy Clinical initiatives to include staff development and management, policy development and management with a focus on safety, quality and best practice. Works collaboratively with physicians, nurses and other health-care professionals. Participates in Eastern Maine Medical Center and Eastern Maine Healthcare System pharmacy related committees, task forces and system meetings. 

Major Duties and Responsibilities
A. Responsible for assuring that all staff meet competency requirements.
B. Committee work that promotes the safest use of medications in the most cost effective manner.
C. Collaboration with managers within EMMC and within EMHS for development of Best Practices regarding Medication Management.
D. Management of Drug Formulary to include best practices, safety, cost, and appropriate utilization.
E. Management of Student Rotations and Educational experiences.
F. Annual performance evaluations for direct reports.
To include (5) Clinical Pharmacist Specialists, (1) Quality and Metrics Specialist, (5) Medication Reconciliation Technicians.
G. Ensures EMMC compliance with all applicable regulations for pharmacy services including Board of Pharmacy, State licensure, Medicare COP, OSHA, and The Joint Commission standards.
H. Assists Director and Operations Manager with development of departmental strategic plan and goals.
I. Develops maintains and communicates departmental policies and procedures consistent with EMMC Mission and Vision statements.
J. Assists Director and Operations Manager with development of the departmental operational and capital budget and operates the department within the authorized budget as measured by the actual monthly budget performance reports.
K. Assists with the development, implementation and on-going assessment of relevant performance improvement and quality initiatives consistent with EMMC, regulatory and governmental requirements.
L. Cultivates a culture of safety, accountability and fosters opportunities for pharmacy staff development.
M. Overseas standardized clinical pharmacy programs to optimize efficacy, safety and cost effective use of medications.

Experience/Education
State of Maine Pharmacist License
B.S. Pharmacy or Pharm.D. required; PGY1 Health-System Pharmacy Practice residency
5 years hospital pharmacy experience - OR - PGY2 clinical specialty residency plus 3 years hospital pharmacy experience required (equivalent experience will be considered);
Board of Pharmacy Specialties Certification - required; Advanced degree (i.e. MBA, MHA) - preferred; Three years leadership experience - preferred.

Other Skills
Must have demonstrated skills in making decisions with visionary and independent judgment and be able to work effectively with a variety of board, managerial and professional personnel. Must have knowledge of pharmacy policies, procedures and regulations. Must have knowledge of State, Federal, local, and OSHA rules and regulations and accreditation (ex. URAC, TJC) requirements. Must be able to maintain expert pharmacist skills while effectively coordinating and supervising other personnel. Must be able to work collaboratively and effectively with physicians and physician groups, nursing management and nurses and other allied health professional. Must demonstrate experience in coaching, mentoring, and training staff. Demonstrates skill in planning, organizing, implementing, and evaluating clinical programs that will meet the needs of acute care.

GENERAL DESCRIPTION/STATEMENT:

The Pharmacy Director will be responsible for the operation and management of Pharmacy Services including: organizing, directing, coordinating, and controlling department operations; ensures compliance with patient care quality standards; directs, controls and ensures the proper purchase, procurement, storage and handling of pharmaceutical inventories and related supplies; responsible for department planning, budgeting, education, safety, and human resource management activities.

In addition, the Director will plan, organize and implement hospital pharmacy policies and procedures in accordance with established policies of the hospital, in cooperation with other departments of the hospital, and in accordance with accepted standards of good pharmacy practice. The Director will ensure full compliance with hospital policies, professional standards of practice, state and federal laws, and the standards and requirements of the Joint Commission, the FDA, and other regulatory bodies.

Through collaborative planning and through actions and accountability the Director helps to align areas of responsibility with the mission, vision, values, goals and objectives of the medical center. The Director is expected to clearly communicate purpose and measurable objectives to organizational priorities, while consistently modeling organization's values in all interactions.

ESSENTIAL DUTIES:

1. Organizes, coordinates, and maintains the administrative aspects of department operations, delegates responsibilities to subordinates as appropriate; plans or assists in the design and layout of department physical facilities. Coordinates department clinical matters with VP, Senior Physician Executive.

2. Directs subordinate management support personnel in oversight their areas of responsibility, and offers advice and guidance in handling special operations and administrative matters or problems.

3. Develops, revises, and implements department goals, policies, procedures and standards in accordance with hospital and regulatory requirements; interprets hospital and department policies, procedures, and objectives to department staff. Establishes, revises and implements practice policies and operating procedures.

4. Participates in the department human resource management function; coordinates the selection, promotion, and performance appraisal process; institutes disciplinary action and recommends termination as necessary; establishes the department work and staffing schedules; develops job descriptions for department staff.

5. Participates in the planning of the purchase of pharmaceutical inventory, supplies and equipment; establishes specifications for items to be purchased; prepares and/or authorizes purchase orders in cooperation with the hospital's centralized purchasing function.

6. Oversees the storage and distribution of all related inventory and supplies throughout the medical center; ensures compliance with established inventory control standards and with applicable state and federal regulations.

7. Coordinates the integration of department functions with other departments and with overall aspects of patient care; works closely with the nursing and medical staffs and other clinical department directors in addressing patient care and service issues.

8. Monitors all department activities, and takes actions as necessary to ensure efficient and effective operation; directs and participates in the compilation and analysis of department activity data and prepares related reports; prepares and analyzes reports reflecting utilization of service and financial performance, and initiates appropriate responsive actions; establishes and maintains a system of records for documenting and monitoring patient charges, and the delivery of all pharmacy services.

9. Plans and implements the department performance improvement activities. Improves organizational performance by ensuring compliance with organizational policies and procedures, recognizing and correcting deficiencies and overseeing departmental performance improvement goals, plans and progress.

10. Participates in the preparation of the department budget; monitors budget performance; reviews, identifies, and analyzes variances; initiates responsive actions as necessary.

11. Manages the department orientation, safety, training, and education functions; ensures the maintenance of staff skill and education levels; and coordinates all student educational experiences.

12. Ensures the maintenance of standard sources of information, including compendia, reference texts, and professional journals.

13. Maintains skill and knowledge level, and keeps current regarding industry trends and developments by maintaining industry/professional contacts and attending pertinent seminars.

14. Serves on hospital committees as assigned, and/or appoints other pharmacy staff as members of hospital committees.

15. Meets with direct reports monthly to facilitate growth, meeting organizational goals and the mission and vision of TAMC and to respond to changes in the external environment. Schedules and conducts staff meetings to inform the staff of changes in the organization's policies to update and educate the staff, and to resolve and prevent problems. Prepares and retains minutes of all meetings.

16. Holds direct reports accountable for achieving excellence.

17. Demonstrates assertive and creative problem solving abilities by identifying problem areas that impact customer satisfaction performance in assigned departments and implements action plans to improve customer satisfaction, regularly evaluating the effectiveness of such plans using measurable, objective data.

18. Develops departmental methodologies to ensure that all employees receive on-going training in order to maintain competency.

19. Ensures accountability of direct reports for injury prevention, comprehensive accident/injury investigations to include root-cause analysis and ensures injured workers with work capacity are returned to gainful employment while on restricted duty.

20. Ensures staff compliance with safety measures, TAMC policies, State, OSHA and Joint Commission requirements.

21. Ensures confidentiality, security, and integrity of data and information within areas of responsibility.

  1. Develops, coaches, nurtures and mentors subordinates who directly report and other staff as opportunities present.

LICENSE REQUIREMENTS:
